Good Afternoon Members,

The Board hopes you are enjoying your holiday season! Please take a few minutes to end this year understanding where we are as we head into the next. As always, thank you for your continued support!

New Board Members

Your Board is excited to welcome two new energetic, talented directors. Each will serve as a committee chair to bring you an increased level of communication & activity while I now focus on the execution of the Reimagine Capital Project your vote approved this past September.

Please welcome Annie Veit and Becca de la Portilla as new members to your Board of Directors. Please see our website for information on both, as well as your Board’s other members, our roles & responsibilities.

With his term ending, we give a big “Thank You” to former Board member, Brian Mobley. His past counsel and service as Finance Committee Chair was extremely helpful on several fronts.

Manage Your Own Membership Information Online

You now have the ability to manage your own membership information online. Click on My Membership Info on our website. You will enter the current email associated with your membership and an email will be sent to the current email address that contains all known membership information for you to review and change, if desired. Another email confirms newly submitted information. Your Membership Committee Chair will contact you if any changes require discussion.

Reimagine Capital Project

Despite our hopes to begin work on our capital project in plenty of time to ensure the pool opens on time next season, we have met the obstacles related to land management, construction planning and related municipal permits many believed we would.

These challenges come not with surprise or disappointment, but with a resolve to get the project done right and follow all ordinances & prescriptions. Our Town has been a great partner so far. The County has its guidelines to understand and follow. We simply have to be patient and keep moving forward.

Members should expect the construction of a new Pool House & Open-Air Activities Shelter to begin in the fall of 2024, after the pool closes in early September, but unfortunately not before. The 2025 pool season will serve as the grand opening of the new facilities.
Dues & Capital Assessment

Membership should expect annual dues to remain unchanged for the upcoming season. Your invoice for annual dues should be expected via email in early February 2024 and due within 30 days.

Please remember that current members forfeit membership when they do not pay annual dues by mid-March 2024. Spots will be given to the next person on our waiting list.

Members should expect the Reimagine Project’s capital assessment of $850 approved by membership vote in September 2023 to be invoiced in July 2024 and due in August 2024.

Collections

This coming year, we expect to complete the effort to move financial operations into the modern era. As you may remember, we have spent the past couple of years moving operations into a more efficient, paperless process.

To the vast majority of members currently paying your invoices electronically online and on time, the Board thanks you so much! We ask that all members cooperate with us to pay all invoices online through a bank draft.

Bank draft is the safest way to pay any bill from Swimming Hole. Fraud is prevalent with paper checks in today’s banking system. We no longer accept checks or cash. No volunteer Board member should be expected to collect money through constant & repeated visits to the post office &/or bank.We do not accept credit cards. We believe membership is best served by avoiding related merchant fees.

Thank you for your cooperation and understanding. These measures are standard operating procedure for any business following best practices, and they should not present a challenge for any member wanting to help make Board service less stressful and something any member may want to consider in the future.

*Note: I am sorry to have to point this out in a message to all members, but I want everyone to be forewarned. For those dozen or so members that are still past due on 2023 Guest Fee invoices after multiple reminders via email, phone calls &/or texts, please understand that the penalty for an account that is not paid in full by December 31, 2023 is loss of membership to the next person on our Wait List.

Thank you for your understanding and attention to this matter. Please email finance@swimminghole.club with inquiries.

Landscaping & Parking

Lastly, let’s end this year on a positive note! Please know that all progress towards the improvements to our property for the upcoming 2024 pool season is not lost!

You may remember that we are investing in new tree & shrub plantings associated with our landscaping plan. You may also remember the plan to expand our parking lot to remove cars from Lorimer Rd and provide for a safer traffic pattern since we have so many children who walk or ride bikes to our pool or run ahead of parents who are managing all that comes with a pool visit.

These two projects are already budgeted and should not require further funding for execution in spring 2024, well prior to our pool opening. We believe you and our neighbors will be very pleased with those upgrades to our property’s aesthetic and functionality. We are in the final stages of approval from Mecklenburg County.

Thank you, Merry Christmas & Happy Holidays! The Board looks forward to our future together.

Thank you,
Glenn Prillaman
Board President
